This policy explains how [COMPANY NAME] handles personal information collected through this website. We are a window and door contractor operating in Ontario, and we are subject to the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada’s federal private-sector privacy law.

The short version: the only personal information this website collects is what you type into the contact form. We use it to answer you. We do not sell it, we do not advertise with it, and this site runs no analytics, no tracking pixels and no cookies.

What we collect

Information you give us

When you submit the contact form we receive the information you enter. Three fields are required:

• Your name
• Your email address
• A description of what you need

The remaining fields are optional, and you decide whether to fill them in:

• Phone number
• Company or organization
• The service you are enquiring about
• Building type, number of storeys, and the building or property address
• City

If you email or telephone us directly instead, we hold whatever you choose to tell us in that message or call.

Information collected automatically

Our web host keeps standard server logs, as essentially every web server does. These record the IP address a request came from, the browser and device type, the pages requested, and the date and time. We do not use these logs to identify individual visitors, and we do not combine them with anything you submit through the form.

Why we collect it

We use the information you send us for these purposes and no others:

• To answer your enquiry and to ask any follow-up questions we need in order to answer it properly
• To arrange a site visit, take measurements, and prepare an estimate
• To carry out and warranty the work, if you go ahead with a project
• To keep the business and tax records we are required by law to keep

We do not use your information to send marketing email. If you contact us, you will get a reply about your enquiry. You will not be added to a mailing list, and we will not send you promotions. If that ever changes we will ask for your consent separately and in advance, as Canada’s anti-spam legislation requires.

Who sees it

Contact form submissions are delivered to a company email inbox on our web hosting provider’s servers. Your enquiry is read by the people in the company who need to act on it.

We do not sell personal information, we do not rent it, and we do not share it with anyone for their own marketing purposes.

We may share information with others only in these limited situations:

• With our web hosting provider, who stores the website and the email inbox on our behalf
• With suppliers or a manufacturer where it is necessary to order, warranty or service the specific product going into your building, for example a glass or hardware order
• With an engineering firm, abatement contractor or other licensed specialist we bring in on your project, and only to the extent their part of the work requires it
• Where we are required to by law, or where it is necessary to establish or defend a legal claim

Third-party services this site loads

To display correctly, this website loads its typeface from Google Fonts and one small animation script from the jsDelivr content delivery network. Because your browser fetches those files directly, those providers receive your IP address as a technical consequence of serving them. We do not send them anything you type, and we receive no information back from them.

Photographs of completed work

We photograph our own work and may publish those photographs on this website, on social media, or in proposals. Where a project is identified by building name or address, that is done with the permission of the building owner, property manager, or condominium corporation. We do not publish photographs of the interior of a private residence or an individual suite without the occupant’s permission, and we do not identify residents. If you would like a photograph of your property removed, contact us and we will remove it.

How long we keep it

We keep personal information only as long as it is needed for the purpose it was collected for, or as long as the law requires us to keep it, whichever is longer. Enquiries that do not become projects are not kept indefinitely. Records relating to completed work are held for the length of the warranty and for the period our tax and business record-keeping obligations require.

You can ask us to delete your information at any time, and we will do so unless we are legally required to keep it.

How it is protected

Access to enquiries is limited to the people who need it to do their jobs. The website is served over an encrypted HTTPS connection, so what you type into the form is encrypted in transit. No method of transmission or storage is perfectly secure, and we do not claim otherwise, but we take reasonable steps appropriate to the sensitivity of the information involved.

Please do not send us financial information, banking details, government identification numbers, or anything else highly sensitive through the contact form. We never need those to quote a job, and we will never ask for them by email.

Your rights

Under PIPEDA you have the right to:

• Ask what personal information we hold about you, and get a copy of it
• Ask us to correct anything that is inaccurate or incomplete
• Ask us to delete it, subject to any legal obligation we have to retain it
• Withdraw your consent to our use of it, understanding that this may mean we can no longer provide a quote or carry out work
• Complain to us, and if we do not resolve it to your satisfaction, to the Office of the Privacy Commissioner of Canada

To make any of these requests, contact us using the details below. We will respond within the time PIPEDA allows, which is normally thirty days. We may need to verify your identity first so that we do not disclose someone else’s information to the wrong person.

Children

This website is aimed at property owners, property managers and building professionals. It is not directed at children, and we do not knowingly collect personal information from anyone under the age of majority.

Changes to this policy

If we change how we handle personal information, we will update this page and change the date at the top. Material changes, such as introducing website analytics, will be reflected here before they take effect rather than after.
